How to Optimize Your Excel Workflow (A Practical Guide)
Step-by-step process for identifying and eliminating friction in your daily Excel work.
Workflow optimization sounds abstract until you realize you're doing the same annoying task for the 500th time. Then it becomes urgent.
Here's a concrete process for finding and fixing workflow friction.
Step 1: Track Your Friction Points
For one week, keep a tally every time you:
- Have to scroll to find a sheet
- Type a date manually
- Copy data from another application
- Search for something in a workbook
- Fix an error that shouldn't have happened
Don't try to fix anything yet. Just count.
Step 2: Calculate the Cost
At the end of the week, look at your tallies. Estimate time per occurrence:
- Sheet navigation: 10-30 seconds each
- Date typing: 5-10 seconds each
- Data copy-paste: 1-5 minutes each
- Searching: 1-10 minutes each
- Error fixing: 5-30 minutes each
Multiply occurrences by time. You'll likely find hours of waste per week.
Step 3: Prioritize by Frequency × Time
A task that happens 100 times/week at 15 seconds = 25 minutes.
A task that happens 3 times/week at 20 minutes = 60 minutes.
The low-frequency, high-time tasks often get overlooked. Address them first.

Now look at available solutions. For each problem:
